What this policy covers
This policy explains how we handle information when you visit this website, sign up for a trial, or use Gutdgest to keep food-safety records for your kitchens. "You" means the business using Gutdgest and the people it invites, such as managers, chefs and kitchen staff.
Information we collect
- Account details: names, work email addresses, business name, city, kitchen type, number of kitchens and staff, and preferred language.
- Kitchen records: checklists, temperature readings, cooking and hot-holding logs, corrective actions, recipes, allergen information, labels, supplier details and delivery checks.
- Photos: images your staff take during checklists, deliveries and task fixes.
- Staff information: names, roles, outlets, training progress, quiz scores and certificates.
- Staff health records: medical fitness certificates, illness reports and return-to-work notes, if your business chooses to store them.
- Sensor data: readings, battery levels and connection status from temperature sensors and gateways.
- Website and device data: browser type, pages visited and basic technical logs used to keep the service secure and working.
How we use information
- To provide Gutdgest: run checklists, store logs, print labels, send alerts and reminders, and build audit packs.
- To run the AI Kitchen Inspector for your kitchen: reviewing your photos and logs for likely hygiene issues and showing flags to your managers.
- To set up your account and send login details, service messages and security notices.
- To answer questions sent through the sales form and to support your team.
- To keep the service secure, prevent misuse and fix problems.
Photos and the AI Kitchen Inspector
Photos and logs are reviewed only to provide the AI Kitchen Inspector to the kitchen that took them. Flags are suggestions for a manager to check, and decisions stay with your team.
We do not sell your photos, and we do not share them with other businesses. Where we improve our models, we only use data in a way that does not identify your business or your staff, and you can opt out in your account settings.
Staff health records
Health records are confidential. They are stored separately from training records, visible only to managers your business authorises, and every access is logged. Your business decides whether to store them and for how long.
Sharing
We never sell your data. We share information only in these cases:
- With service providers who host our systems, send email and process payments, under contracts that require them to protect it.
- With people inside your business, according to the roles and permissions you set.
- With an inspector, auditor or brand owner, only when you export and share an audit pack yourself.
- When the law requires it, and then only what is required.
Security
Data is encrypted in transit and at rest. Access inside Gutdgest is based on roles, records are time-stamped, and changes after sign-off leave a trail. No system is perfectly secure, so we also ask you to keep staff PINs and passwords private and remove access for people who leave.
Retention
Kitchen records are kept while your subscription is active so you can show history to inspectors. When an account is closed, you can export your records, and we delete them within 90 days unless the law requires us to keep them longer.
Your choices and rights
- Access, correct or export the information held about you or your business.
- Ask us to delete your account and records.
- Opt out of non-essential emails at any time.
- Staff can ask their employer, as the account owner, to correct or remove their records.
